Important Information

“As of December 15, 2016 it will be the responsibility of Panel Physicians to ensure that Upfront Medical Examinations are only conducted for Students, Workers, Visitors and Express Entry applicants. All other applicants should be advised to await instructions from IRCC. To comply with this new process, Panel Physicians are not to book new Upfront Medical Examination appointments for Family Class applicants. A new application process for spousal and dependent child sponsorships comes into effect on December 15, 2016. As part of this updated process, Upfront Medical Examinations are no longer required for Family Class applicants being sponsored as spouses, common law partners, conjugal partners or dependent children. After this date all Family Class applicants using the new process will be issued medical instructions which include an Immigration Medical Examination number generated by IRCC.”

Appointment:

To schedule an appointment, please action the following :

  • Complete an online MEDICAL EXAMINATION REQUEST FORM, 1 per family, listing the various people to be seen (adults & children)
    • Attach to this request form, a scanned copy of the relevant passport per person (adults & children)
    • Attach to this request form, any confirmation of IME / UMI / UCI number received from Immigration Refugees and Citizenship Canada (IRCC) – These numbers are unique client identifiers that appear on any official documents you receive.
    • Attach to this request form, a copy of vaccine records, where applicable (adults and children) – this includes childhood vaccines, other vaccines and COVID-19 vaccines
  • Once all of this information has been received, a representative will contact you via email to arrange an appointment based on your appointment preference selected.

If no appointment confirmation is received from yourself within 48 hours, your application and appointment request will be cancelled.

Please bring to the Appointment: for each person being examined

  • Proper identification (proof of identity must include at least one government-issued document with photograph and signature, such as a valid passport that was submitted at the time of the application)
    • TO NOTE : Without valid proof of identification, the appointment will unfortunately not be able to proceed.
  • All relevant forms and letters received from Immigration Refugees and Citizenship Canada (IRCC) with confirmation of IME/UMI/UCI number/s which are unique client identifiers that appear on any official documents you receive.
  • A copy of vaccine records, where available (adults & children) – this includes childhood vaccines, other vaccines and COVID-19 vaccines
  • Eye glasses or contact lenses, if worn
  • Any medical reports or test results that you may have as a result of previous or existing medical conditions should be brought to the consultation for any relevant medical related matters ie recent operations, prescription medication etc. Failure to do so may delay the processing of your medical examination.
    • TO NOTE : Please ensure Medical Reports are in English and are typed (not handwritten).
  • Bloods tests do NOT require you to fast, please eat your meals as per normal.

How do I know if I actually need a medical to be done ?

For any questions relating to whether or not a medical is required by yourself, with your personal circ*mstances, these need to be raised with your Immigration Consultant directly or the Embassy concerned. DO I NEED TO MAKE AN APPOINTMENT FOR THIS OR CAN I JUST WALK IN ? HOW FAR IN ADVANCE SHOULD I SCHEDULE AN APPOINTMENT?

An appointment is certainly necessary for this type of medical. Generally speaking the first available appointment will be offered to you, however this could range from the next couple of days to possibly a week or two or three – the general rule would be to allow at least for 10 days in advance.

Can I use this opportunity to have my annual medical done, have additional blood tests done, update any scripts that I need etc ?

No. Please set up time with your consulting Health Practitioner for these services. The sole purpose of this medical is for the evaluation for a Canadian Immigration Medical. The consulting Doctor will confirm what additional tests are deemed necessary if the need arises.

I CANNOT ACCESS / COMPLETE THE ONLINE APPLICATION FORM?

At times, candidates encounter delays / system hanging / general hassles with the completion of these forms as they are working from behind a company firewall that does not allow them full access to this site. In the event you are having issues with the online form, please try again using ADSL or 3G services.

I DON`T HAVE AN IME / UMI / UCI NUMBER, CAN I STILL PROCEED TO HAVE A MEDICAL?

Yes, an Upfront Medical will be done. When submitting paperwork to the embassy / visa office, you must include a copy of your final information sheet with your application.

Do I have to bring my passport with to the Consultation ?

Yes. Proper identification (proof of identity must include at least one government-issued document with photograph and signature, such as a valid passport that was submitted at the time of the application) must be brought to the Consultation. TO NOTE, WITHOUT VALID PROOF OF IDENTIFICATION, THE APPOINTMENT WILL NOT PROCEED !

Can I submit an application even though I don`t have my passport with me ?

No. Without a valid passport, your application will not be processed and an appointment will not be made.

Do I need to bring photos with me?

No. Digital photos will be taken at the time of the Consultation for each application for the online e-medical system used by the IRCC.

CAN I CLAIM BACK FROM MY MEDICAL AID FOR THE CONSULTATION, BLOOD TESTS AND X-RAYS ?

PLEASE NOTE: IN OUR EXPERIENCE, MOST MEDICAL AIDSDO NOTREIMBURSE CLAIMS RELATING TO IMMIGRATION MEDICALS AND ASSOCIATED PROCEDURES.

In our experience, your medical aid is very unlikely to pay for this type of medical, the blood tests and the x-ray associated with this, as Medical Aids generally see this as an elective consultation, and not due to the candidates being “sick”In the event that you do intend claiming these back from your Medical aid, please check prior to attending the appointment, if your Medical Aid will in fact settle these claims (refer details below). You will receive an invoice on the day of the Consultation, however it will be your responsibility to settle the amounts directly with us. The following information will be shown on the invoice : These are the correct procedure and ICD10 codes and we cannot legally amend these to other codes.

WHAT HAPPENS IF I AM MENSTRUATING OR I AM PREGNANT?

Portions of the medical examination may be delayed / need to be repeated, if traces of menstrual blood is found at the time of the urine screening. The medical can continue with the test repeated at a laboratory close to you, at a convenient date and time, ensuring the results are submitted to us.

If pregnant – and you do not wish to undergo the x-ray examination required as part of your application, your examination will be put on hold, pending the completion of the x-ray before your immigration medical examination can be finalised.

I AM CURRENTLY ON PRESCRIPTION MEDICATION, IS THIS A PROBLEM?

The medical can continue, but we will require a written report from a prescribing physician indicating the condition for which you are being treated and their expected medical management plan.

I currently have / previously had a medical condition, should I bring a report ?

Yes. Please ensure any medical reports or test results that you may have as a result of previous or existing medical conditions are brought to the consultation for any relevant medical related matters ie recent operations, prescription medication etc. Failure to do so will delay the processing of your medical examination.

I HAD SURGERY OUT WHEN I WAS 3 YEARS OLD, I AM NOW 43, IS THIS A PROBLEM?

The medical can continue, however for any life changing operation / surgery done, we will require a written report from a physician indicating the condition and the current status / medical management plan.

Can someone watch my children, while I am in the Consultation with the Doctor ?

No. In the event, you are bringing children with you to the appointment, please also bring along a person (child minder / family member) to assist with looking after the children during your consultation. Parents are asked to note that there are other medical professionals working in close proximity and noise levels should be kept to a minimum at all times.

Is there somewhere for my children to play on site?

No. Please ensure you bring books / toys etc with you to keep them entertained as the medical process can be seen as long.

Is there a canteen / tea-room / restaurant available on site?

No. The closest restaurant / shops are across a main road. Please ensure that you bring water / juice / food with you (especially for the children) as the medical process can be seen as long.

Are there different fee structures for children / pensioners / students / workers / visitors / family members ?

No – the fees are applicable as detailed per the cost schedule breakdown shown above.

I NEED THE DOCTOR TO COMPLETE MY IMM1017 FORM, HOW DO I GET THIS DONE?

The IMM1017 form does not need to be completed by us – this is only for Panel Physicians that do NOT use E-medical – to note your medical records are captured via the E-medical system and submitted electronically directly via this link to the IRCC. Proof of having this medical is provided to you on the day of the Consultation, and once the final health case has been submitted, proof will be sent through confirming this – these documents may be submitted as needed in lieu of the completed IMM1017 form.

I will be expecting an important call so I need to have my cellphone on during the consultation with the Doctor ?

Certain cellular and mobile device frequencies may interfere with the medical equipment thereby giving incorrect readings relating to your medical health. Please make arrangements that all cellphones and mobile devices are switched off during the Consultation to ensure undisturbed communication is maintained with the Doctor that is examining you.

What happens after attending the Medical?

The Service Provider will co-ordinate, consolidate and capture the result information electronically on the system allowing for:

  • 5 working days for obtaining Blood Results and X-Ray Results.
  • 5 working days for consolidation, updating, grading and submitting to the IRCC.

To note: Timelines are subject to various external factors that influence the collection and consolidation of information. In the event, additional reports need to be supplied by the applicant, the submission process may be delayed until such time these documents are received.

I want a copy of the results of the Medical, how do I get this?

The Service Provider can supply on request a copy of the final summary report that is submitted to the Citizenship and Immigration Canada (CIC) per person attending the appointment.

Who makes the final decision on my Medical?

The Immigration Refugees and Citizenship Canada (IRCC) makes the final decision on the outcome of the Medical. If you applied online, Immigration Refugees and Citizenship Canada (IRCC) will contact you through your MyCIC account. If you applied on paper, Immigration Refugees and Citizenship Canada (IRCC) will contact you through the contact information that you entered on your application form.

Will it be up to the Doctor to decide if I pass the exam or not ? Can I bring the Doctor chocolates and flowers and ``bribe`` my way through the exam ?

No. The IRCC makes the final decision on the outcome of the Medical. The Doctor works strictly according to the online e-medical system and will try to proactively assist with highlighting the need for specialist reports necessary. To note : Any form of bribery will be noted and flagged immediately with the IRCC thereby rendering your application null and void.

I want to know the status of my application / approval of submission – who do I contact ?

Once a panel clinic has submitted your health examination results to IRCC, any further queries about your visa application and/or your health examination results should be directed to your IRCC visa officer. Staff at a panel clinic will not be able to help you with these queries.

I HAVE BEEN GRADED “B” BY THE PANEL PHYSICIAN ! – WHAT DOES THAT MEAN AND WILL I BE DENIED ACCESS TO CANADA ? I AM VERY WORRIED / CONCERNED THAT THIS RESULT WILL NOT ALLOW ME ACCESS TO GET INTO CANADA…

As a Panel Physician, it is our duty to flag any medical issues that appear outside of the norm, as minor as it may seem, in order that the IRCC may make an informed decision. B Grading often is automatically flagged by the system for a pre-existing condition eg hyptertension, previous surgery etc. This B grading does NOT mean that you will NOT be allowed into Canada. The IRCC reviews each case on its merits and the information presented, and then make the final decision on the outcome of the Medical. In the event, further health examinations / additional information is required, you will be notified by the IRCC directly once your case has been assessed.

WHY DO I NEED TO BRING VACCINE RECORDS WITH ME? WHAT HAPPENS IF I DON`T HAVE THESE RECORDS ?

Please ensure a copy of your vaccine records ) – this includes childhood vaccines, other vaccines and COVID-19 vaccines – are brought to the Consultation as the IRCC is currently in the process of implementing mandatory vaccinations prior to entry into Canda. The current recommended vaccines are : Diphtheria, Hepatitis A, Hepatitis B, Herpes Zoster (Shingles), Human Papillomavirus (HPV), Influenza, Measles, Mumps, Meningococcal, Pertussis (Whooping Cough), Pneumococcal, Polio, Rubella, Tetanus, Varicella (Chicken Pox).
